Responsibilities
- Maintain confidentiality of highly sensitive information
- Manage complex office administrative work requiring the use of independent judgment and initiative
- Coordinate special projects as needed
Calendar Management and Travel
- Organize complex domestic and international travel
- Set appointments and prioritize to resolve issues with calendar and schedule
Meeting and Event Planning/Preparation
- Organize meetings, develop agendas and meeting materials (such as presentations and reports) as needed
- Plans and organizes business unit special events communications
- Collect and prepare information for use in discussions/meetings of executive staff and outside individuals
- Collaborate, internally and externally, to prioritize meetings, projects and events
- Create travel itineraries as needed
- Follow up on documentation updates post-meetings (i.e. action-item follow up)
- Plans and organize business unit special events
Communications
- Make high level contacts of a sensitive nature inside and outside the company
- Exercise sound judgment and discretion in handling confidential and sensitive information
- Develop solid knowledge of company operations, policies, and procedures
Budgeting and Expense Management
- Manage departmental budgets and proposes ways to minimize/reduce costs
- Prepare expense reports and reviews direct reports expenses, ensuring all expenses are accurate and within policy guidelines
Qualifications
- 8+ years experience supporting executive leaders
- Proficiency in Microsoft Office- Outlook, PowerPoint, Word, Excel
- Experience with expense reporting and PO management
- Knowledge of scheduling- meetings, travel, events (virtual and in-person)
- Highly resourceful and proactive
- Communication and relationship- focused
The United States targeted pay range for this position in the following location is / locations are:
• San Francisco, CA / Bay Area: $109,000 to $163,000 per year
• California (Non-SF/Bay Area), Connecticut, Maryland, New York, New Jersey, Washington state: $100,000 to $150,000 per year
• Colorado, Nevada, Rhode Island: $90,000 to $136,000 per year
Our pay ranges reflect the minimum and maximum target for new hire pay for the full-time position determined by role, level, and location. Individual pay is based on additional factors including job-related skills, experience, and relevant education and/or training.
This position may be offered in other locations. Your recruiter can share more about the specific pay range for your preferred location during the hiring process.
The targeted pay range listed reflects the base pay only and does not include bonus, equity, or benefits. Employees are eligible for bonus, and equity may be offered depending on the position.
