GDPR Information Clause

Competition participants: Participants of the AI and Security Stage Meetup Warsaw event 21.10.2025
1. GENERAL PROVISIONS
1. The organizer of the competition is Equinix Poland Sp. z o. o., with its registered office at Al. Jerozolimskie 65/79, 00-697 Warsaw, NIP 7010109699, hereinafter referred to as the "Organizer".
2. The rules of the competition are defined in these terms & conditions, which come into effect on the day the competition starts, i.e., on 14.10.2025 from 00:00 and remain in effect until its completion, i.e., until 22.10.2025 at 23:59.
3. Only individuals who have reached the age of 18 by the start date of the competition and consumers within the meaning of Article 22[1] of the Civil Code with full legal capacity can participate in the competition. Members of the jury cannot participate.
4. The competition is conducted on the official Equinix Poland landing page on the event website AI and Security Stage Meetup Warsaw organized on 21.10.2025 by Techevents Sp. z o.o. with its registered office at ul. Głowackiego 35/64, 20-060 Lublin.
5. The competition involves answering the competition question: "xxx".
6. The competition question form will be available on the website https://careers.equinix.com/meet-up-ai-security-stage-warsaw
7. The criteria for evaluating the answers are their originality and creativity.
8. From all the submitted answers, the competition jury consisting of Daniel Krasnokucki, Marcin Sowa, Krystian Powójski will select the winner and award the prize for the most interesting answer.
9. The author of the winning answer will be notified of the competition results by the Organizer via email sent to the address provided in the competition form.
10. The Organizer will contact the competition winner to confirm the prize and request the delivery details: first name, last name, and address where the prize should be delivered.
11. The prize will be delivered to the winner within 14 days from the date of providing the necessary information for prize delivery.
12. The Organizer is not responsible for the inability to contact the participant or deliver the prize due to reasons on the participant's side, especially in case of failure to provide or providing incorrect information, changes in participant's information without notification. In such cases, the prize is forfeited.
2. CONDITIONS OF PARTICIPATION IN THE COMPETITION
The condition for participation in the competition is:
1. Participation in the AI and Security Stage Meetup Warsaw event organized on 21.10.2025 by Techevents Sp. z o.o. with its registered office at ul. Głowackiego 35/64, 20-060 Lublin.
2. Giving consent to the processing of personal data for participation in the competition for participants of the AI and Security Stage Meetup Warsaw event.
3. Giving consent to the processing of personal data to enable Equinix Poland Sp. z o. o. to contact for marketing and recruitment processes conducted by Equinix Poland.
4. Completing the contact form and providing an answer to the competition question “What’s one unexpected way AI/ML could improve daily life, and how would you start building it? Briefly describe your idea and the first steps you’d take.”.
3. COMPETITION SCHEDULE
1. Providing answers to the competition question: 14.10.2025-22.10.2025.
2. Evaluation by the jury within the period: 23.10.2025 to 31.10.2025.
3. Notification of competition results: 1.11.2025 to 10.11.2025. The notification will be sent by the Organizer to the winner via email to the address provided by the participant in the competition form.
4. PROCESSING OF PERSONAL DATA
CONSENT TO PROCESS PERSONAL DATA FOR PARTICIPATION IN THE COMPETITION[AA2]
I hereby give consent to the processing of my personal data, including my name and email address, for the purpose of participating in the competition for participants of the AI and Security Stage Meetup Warsaw event, including conducting all activities related to the competition and awarding prizes. I confirm that I have read the information clause regarding the processing of personal data.

Purposes and Legal Basis for Data Processing
The data is processed for the purpose of conducting the competition organized by Equinix Poland Sp. z o.o. during the AI and Security Stage Meetup Warsaw 2025 event among conference participants, based on the Regulation (EU) 2016/679 of the European Parliament and of the Council of 27 April 2016 on the protection of natural persons with regard to the processing of personal data and on the free movement of such data, and repealing Directive 95/46/EC.
Data Recipients
The data may only be disclosed to authorized entities based on legal provisions. The Administrator will not transfer the data to third countries.
Data Retention
Your personal data will be retained will be processed for the purpose of participating in the competition for participants of the AI and Security Stage Meetup Warsaw event, including conducting all activities related to the competition and awarding prizes for the duration of the competition and for a period of 2 years thereafter, unless you withdraw your consent earlier. In the event of withdrawal of consent, your personal data will be processed only for archiving purposes, as evidence, for the period appropriate for the limitation of claims, which will be a maximum of 5 years.
Data Subject Rights
You have the right to access your data, rectify them, delete or limit their processing, the right to data portability, the right to object, and the right to withdraw consent at any time without affecting the lawfulness of processing based on consent before its withdrawal. Please direct the above-mentioned requests to the email address provided in the Data Administrator section. You have the right to lodge a complaint with the supervisory authority if you believe that the processing of your personal data violates the above-mentioned Regulation. Providing data is voluntary but necessary for the above-mentioned purposes. Your data will not be processed in an automated manner, including profiling.

CONSENT TO PROCESS PERSONAL DATA TO CONTACT FOR MARKETING AND RECRUITMENT PROCESSES CONDUCTED BY EQUINIX POLAND
I give consent to the processing by Equinix Poland Sp. z o.o. of my personal data, including my name, surname, and email address, for the purpose of enabling Equinix Poland Sp. z o.o. to contact me for marketing and recruitment processes conducted by Equinix Poland Sp. z o.o. for a period not exceeding 2 year from the date of giving consent. I confirm that I have read the information clause regarding the processing of personal data.

Purposes and legal basis for data processing
The personal data provided by you will be processed by the administrator for marketing and recruitment purposes, based on your consent given in accordance with Article 6(1)(a) of the GDPR*, to participate in recruitment processes conducted by Equinix Poland Sp. z o.o.[AA6]
Data recipients
Personal data may be disclosed to employees or associates of the data administrator, as well as entities providing support services to the administrator based on commissioned services and in accordance with concluded entrustment agreements, especially in the area of recruitment support.
Data retention period
Your personal data will be processed for marketing and recruitment purposes until the withdrawal of consent, but no longer than for a period of 2 years. In the event of withdrawal of consent to the processing of data for marketing and recruitment purposes, your personal data will be processed only for archiving purposes, as evidence, for the period appropriate for the limitation of claims, which will be a maximum of 5 years.
