Job Summary
We are seeking a highly organized, proactive, and resourceful professional to support the Vice Presidents (VPs) in driving strategic and operational priorities across the Growth and Emerging Markets (GEMs) region. This role requires exceptional attention to detail, superior organizational and communication skills, and the ability to manage multiple priorities in a fast-paced, dynamic, and multicultural environment.
The Executive Assistant (EA) will play a pivotal role in optimizing the VPs’ effectiveness; ensuring their time is focused on the highest-impact activities, coordinating complex schedules, facilitating information flow, and supporting engagement with internal and external stakeholders. Success in this role requires discretion, sound judgment, and the ability to anticipate needs while maintaining strong alignment with company priorities.
About the GEMs VP Role
The GEMs Vice Presidents lead the strategic and operational priorities of the region, ensuring alignment with global business objectives. Their responsibilities include driving business growth (both organic and inorganic), leading market expansion initiatives, and representing the company with key government, industry, and customer stakeholders. They champion a culture of inclusion, innovation, and execution excellence, working closely with global and functional leaders to deliver the company’s operating model effectively across all markets.
Responsibilities
Executive Support
Provide comprehensive administrative and strategic support to two Vice Presidents
Manage complex and frequently changing calendars; prioritize meetings and resolve scheduling conflicts across multiple time zones
Coordinate international and domestic travel, including itineraries, logistics, and expense management
Proactively identify priorities and ensure the VPs are fully prepared for meetings, trips, and engagements
Operational Rhythm Management
Maintaining the regional operating cadence (e.g., leadership meetings, quarterly business reviews, and reporting cycles)
Meeting & Event Coordination
Plan, organize, and execute internal and external meetings, including agenda preparation, briefing materials, and follow-up on action items
Coordinate logistics for regional leadership meetings, customer visits, board or partner sessions, and special events
Record and distribute meeting minutes, ensuring clear ownership and timely follow-up
Communication & Liaison
Serve as the primary point of contact between the VPs and internal/external stakeholders
Build and maintain strong relationships with other Executive Assistants and leadership teams to ensure smooth coordination and consistent communication across regions
Draft, review, and format correspondence, presentations, and reports on behalf of the VPs
Financial & Administrative Processes
Prepare, review, and track expense reports accurately and efficiently
Manage purchase orders, vendor setups, and invoice approvals in compliance with company policies
Support budget tracking and financial reporting for regional activities as needed
Manage and validate direct reports’ expense reports, ensuring accuracy, budget compliance, and adherence to company policy
Project & Initiative Support
Assist in tracking progress of strategic initiatives and regional priorities, ensuring key milestones are met
Coordinate and provide administrative support for cross-functional projects
Conduct basic research and prepare summaries or reports for the VPs
Confidentiality & Professionalism
Handle highly sensitive information with absolute discretion
Represent the VPs with professionalism and integrity at all times
Qualifications
Required:
Proven years of experience supporting senior executives (VP level or above) in a global corporate environment
Advanced proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and collaboration tools (Teams, SharePoint, Concur or equivalent).
Strong organizational and time management skills with the ability to manage multiple, competing priorities
Excellent written and verbal communication skills
High degree of discretion, professionalism, and sound judgment
Ability to work independently and anticipate needs in a fast-paced, dynamic environment
Preferred:
Experience supporting executives in a regional or global organization
Demonstrated ability to coordinate effectively across multiple time zones and cultures
Familiarity with expense management, procurement, and travel systems
Bachelor’s degree preferred
