Job Summary

The CRE Workplace Experience Associate is a key member of the Corporate Real Estate (CRE) organization, responsible for delivering an outstanding on-site workplace and visitor experience. As a front-facing representative of Equinix and the CRE team, this role supports a welcoming, professional, and engaging environment that reflects company values and culture. The role reports to the Regional CRE Manager and requires daily on-site presence.

Responsibilities

Welcome Desk & Front-of-House

  • Provide coverage at the Welcome Desk during assigned business hours, ensuring a warm and professional experience for all visitors and employees.

  • Manage visitor sign-in and badging in compliance with company guest and security policies.

  • Greet employees, customers, and guests upon arrival and departure, engaging in friendly and professional interactions.

  • Maintain the Welcome Desk and reception area in a clean, organized, and welcoming condition, ensuring no deliveries are left unattended.

Safety & Security

  • Prioritize the safety and well-being of employees, customers, and visitors at all times.

  • Understand and execute emergency response and evacuation procedures when required.

  • Ensure badge compliance and actively prevent tailgating.

  • Escalate safety or security concerns promptly to the appropriate teams.

  • Coordinate visitor access and security procedures using the Envoy visitor management system.

Courtesy & Workplace Support

  • Foster a positive and engaging workplace atmosphere through creative front desk activities.

  • Deliver “surprise and delight” moments that enhance the overall workplace experience.

  • Support the development of a strong on-site community through daily interactions and engagement initiatives.

  • Assist with scheduling and managing meeting rooms, including setup of equipment, supplies, and catering for meetings and All Hands events.

  • Receive and distribute external and internal mail and deliveries, supporting employees with shipping needs as required.

  • Provide guidance and information to visitors and employees regarding office amenities, building policies, etiquette, and the surrounding area.

  • Ensure timely and professional communication with internal and external stakeholders.

  • Support the office ticketing system by tracking requests, assigning tickets to the appropriate CRE team members, and ensuring resolution.

  • Assist new hires with onboarding support related to CRE services, including warm hand-offs to other support teams such as IT.

Community & Engagement

  • Develop and execute internal communication initiatives that promote engagement and share key on-site information.

  • Act as a liaison between departments, supporting collaboration and alignment.

  • Create engaging communications and materials for office events using tools such as Outlook, Viva Engage, and Office Raven.

  • Own the planning and execution of on-site events, ensuring seamless and inclusive experiences.

  • Capture and share moments through photos to promote company culture and community.

  • Develop promotional content and materials to generate excitement around office initiatives.

  • Manage event logistics and budgets responsibly, optimizing resources while delivering high-quality experiences.

  • Gather post-event feedback to support continuous improvement.

Qualifications

  • Strong customer-facing and hospitality-oriented background.

  • Demonstrated ability to deliver high-quality service and create positive workplace experiences.

  • Bachelor’s degree or equivalent education.

  • Excellent verbal and written communication skills in English, with confidence using digital and social communication tools.

  • Strong interpersonal, organizational, and multitasking skills.

  • Ability to manage challenging situations with professionalism and empathy.

  • Strong relationship-building skills with customers, peers, and business partners.

Important Notes

  • Location: Avenida Paulista, 2064 – São Paulo

  • Work Model: Fully on-site

  • Schedule: Monday to Friday, from 09:00 to 18:00
