Job Summary

We seek a bright and enthusiastic professional for the Executive Assistant role to support our Managing Director. This is a highly visible role based in our Frankfurt office. Experience with supporting senior executives who run large global teams in a fast-paced and growing organization is strongly desired. You are dedicated and resourceful, have a customer-service mentality, and demonstrate extraordinary attention to detail and professionalism in all interactions. Responsibilities

Meeting and Event Planning/Preparation

  • Organizes meetings and develops agendas and meeting materials (such as presentations and reports) as needed

  • Prepares meeting rooms, ordering catering/ refreshments and other ad-hoc requirements for both internal and external facing meetings

  • Providing a warm and friendly welcome for external visitors and greeting them upon arrival

  • Plans and organizes business unit special events

Communications

  • Maintains confidentiality and professionally deals with highly sensitive information

  • Manages and maintains diplomatic relationships for PR stakeholders, internal and external

  • Acting as the first point of contact for external and internal inquiries, dealing with both difficult and sometimes highly confidential/sensitive issues

  • Manages the office and ordering and restocking supplies when needed

Special Projects

  • Coordinates special projects as needed, e.g., regular and ad hoc social and company events

Budgeting and Expense Management

  • Manages departmental budgets

  • Processes expense reports and POs and proactively manage these to completion

Calendar Management and Travel

  • Coordinates and manages complex calendars over multiple time zones

  • Makes travel arrangements as needed

  • Supporting the wider senior management team when needed

Qualifications

  • Advanced proficiency in Microsoft Applications, including Word, Excel, PowerPoint, and Outlook

  • Fluency in English and German is a mandartory requirement

  • Ability to prioritize and re-prioritize in a dynamic environment, pivoting at speed

  • Highly organized and detail-oriented with an ability to work on your initiative

  • Ability to execute tasks and make decisions with little supervision

  • Standout colleague with a customer service focus and the ability to relate to employees with a wide variety of personalities and functional expertise

  • Grace and composure under pressure, so a sense of humour is always appreciated

  • Bachelor’s degree desired

  • Excellent written and verbal communication skills

  • Experience working as an Assistant or Executive Assistant supporting on Managing Director level or similar

  • Experience working in a culturally diverse and global company is a plus

  • Desire to thrive at Equinix and change the way the world connects
