Job Summary
Responsible for supporting physical security and property management operations in managing vendors, facilities services, security projects, processes, audits, business continuity and 7x24 site operations across all data centers. The role assists in ensuring operational excellence, compliance, workplace experience and quality service delivery.
Responsibilities
Processes
Supports & align the rollout of information security processes across all sites in scope
Reviews less complex operational and business continuity processes (e.g., access card key management process) within the Data Center and identifies opportunities for process simplify & improvement; may support process solutions
Implement physical security SOPs, property management procedures at all data-centers and business continuity rollouts, including compliance.
May participate in some cross-functional teams to review operational and business continuity processes within the Data Center, refine or make suggestions for continuous improvement and support implementation of changes; ensures process adherence.
Assist Supervisor in coordinating and supervising service providers, janitors and property management staff in delivering quality services.
Manage vendor performance and follow up on service issues to ensure agreed SLA and KPI requirements are met.
Coordinate with vendors for maintenance requests, purchase requisitions, delivery arrangements and invoicing.
Liaise with internal stakeholders and external contractors on facility-related matters and project implementation.
Support to Data Center
Analyzes key performance indicators and proposes improvement recommendations to standardize /enhance processes
Provides day to day support to Data Center Operations, Security & Compliance
Conduct ad-hoc site inspection, include surprise check in non-office hours
Perform ad-hoc tasks by Supervisor or Site Manager
Directs and escalates issues to appropriate teams to ensure timely resolution.
Compliance and Audit Support
Supports security audits (internal and external) across all sites in scope
Addresses assigned audit findings and tracks them to closure
Maintains compliance documentation, operational records and audit evidence.
Data Management
Collects and analyzes operational and security-related data.
Maintains security, compliance and operational documentation, including ISO-related documents.
Prepares monthly reports, management reports, analysis and operational dashboards.
Training
Reviews and develops content for training materials with service vendors
Conducts security training for all sites in scope within the schedule
Identifies training needs for stakeholders
Responsible for regular and ad-hoc training (for example, new hire training, refresh training)
Develops industry knowledge
Qualifications
Certificate / Diploma or above, preferably in property/ facility management or other relevant disciplines
A member of relevant professional organizations preferable
5+ years solid experience in leading portfolios of security or property management teams is preferred
Experience gained from data-center, banking or IT industry is an advantage
Proficiency in data analysis and Microsoft Office
Post-secondary qualifications
Fluent oral & written English & Cantonese
