Job Summary
The Welcome Desk Host is a key member of the Corporate Real Estate (CRE) team, responsible for delivering an exceptional experience to all employees and visitors. As a representative of Equinix and the CRE organization, the host plays a vital role in fostering a welcoming, professional, and inclusive environment that reflects our company values.

Core Responsibilities
Welcome Desk Operations
Serve as the first point of contact at the office, creating a positive and inclusive first impression
Welcome employees, visitors, and CRE customers, engaging in friendly and respectful conversation
Anticipate and respond to guest needs, aiming to exceed expectations
Provide information about the building, including wayfinding, policies, and etiquette
Coordinate visitor check-ins and security procedures using the Envoy system
Notify employee hosts of guest arrivals and manage security badge distribution
Monitor and report potential security concerns to the CRE metro lead, building security, or risk management team
Maintain a tidy and organized lobby area, ensuring prompt removal of clutter or broken items
Support new employee onboarding by sharing essential resources and ensuring smooth transitions
Events & Engagement
Help build a collaborative and welcoming community through inclusive events
Contribute to a positive atmosphere with engaging front desk activities
Assist in planning, promoting, and supporting CRE-led or supported events
Coordinate meeting room logistics, including equipment, supplies, and catering for All Hands events
Partner with internal teams (e.g., We Are Equinix, Employee Connection Network) to support diverse and inclusive programming
Create memorable moments for visitors and employees through thoughtful gestures
Office Communications
Develop engaging and informative communications for office events and updates using Outlook, Viva Engage, and Office Raven
Ensure timely and professional messaging to internal and external stakeholders
Act as a liaison between employees and departments, helping resolve workplace-related inquiries
Building Operations
Receive and manage deliveries, mail, and shipping needs
Provide guidance to vendors, service providers, and CRE staff to ensure smooth coordination
Support the office ticketing system by assigning or rerouting tickets appropriately, ensuring resolution without dead ends
Assist employees with business card ordering and other administrative needs
Uphold Equinix’s core values while contributing to our mission of delighting customers
Business Continuity & Compliance
May serve as a member of the local safety committee
Maintain knowledge of fire, safety, security, and emergency procedures as outlined in the CRE Playbook
Required Skills
Experience in customer service, hospitality, or a similar client-facing role
Strong interpersonal and communication skills
Professional and presentable demeanour
Fluency in written and spoken English
Proficiency in Microsoft Office (Outlook, Excel, Word)
Ability to write clear, grammatically correct employee-facing communications
Confidence in interacting with individuals across all organizational levels
General office administration skills
English & Polish language proficiency
Preferred Skills
Genuine enthusiasm and creativity
Proactive and improvement-oriented mindset
Ability to balance efficiency with empathy and diplomacy
Familiarity with facilities management and office support services
Experience managing programs or resources independently
Understanding of business planning and budgeting
Knowledge of work order ticketing systems
Education & Experience
Bachelor’s degree in hospitality management or a related field, or equivalent experience (e.g., 5+ years in a customer-facing role)
