Job Summary
We are seeking a highly experienced and dynamic Manager, Logistics (Tradeshows and Events) to join our Global Events Team. This role is responsible for the strategic planning and seamless execution of tradeshow logistics and event experiences that elevate the Equinix brand. Serving as the primary liaison between internal teams and external show management, this position drives the planning process as the expert in tradeshow sponsorships, exhibit execution and affiliated events.
This position will partner with the Marketing Manager to advise on activations that align with the show objectives and provides regular communications to keep the core planning team on course. This role manages the logistic elements of our tradeshow presence to include complex timelines, budgets, and deliverables while producing world-class events that reflect industry trends and embody the values of Equinix.

Responsibilities
Tradeshow Planning & Logistics
Lead planning and execution of tradeshow logistics
Negotiate and execute vendor contracts, including legal review and signature approval, for services such as electrical, labor, shipping, cleaning, floral, lead retrieval, and more
Develop and manage detailed event budgets, process vendor payments, track expenditures, and ensure timely reconciliation
Establish and maintain planning milestones, timelines, and communications frameworks to align cross functional teams
Coordinate interning planning calls, distribute meeting notes, and track follow up actions to ensure timely progress
Manage registration for all staff and stakeholders attending events and coordinate hotel accommodations
Organize show materials including printed collateral, giveaways and raffle items, and ensure timely delivery to the event site
Booth Management & On-Site Execution
Collaborate with Event Content to oversee on-site event setup, ensuring all booth structures, signage, branding elements, and materials are installed and operational
Lead the on-site kickoff meeting in collaboration with the Marketing Manager to align staff on schedules, expectations, and messaging
Monitor booth operations daily, ensuring cleanliness, adequate supplies, and compliance with staffing schedule
Collect and process event leads, collaborating with Marketing to input into Salesforce and support ROI tracking
Meeting Management
Set up meeting scheduling systems (e.g., Jifflenow) aligned with booth layout and available meeting space
Oversee day-to-day meeting room logistics, ensuring they are properly scheduled, supplied, and maintained throughout the event
Coordinate catering and hospitality for scheduled meetings and executive gatherings as needed
Evening Receptions & Offsite Events
Identify and secure off-site venues aligned with event objectives; manage all related logistics and planning
Act as the primary liaison with venue contacts, handling all communications and coordination from contract negotiation through on-site execution
Plan and manage all event logistics including food and beverage, registration, audio visual, room setup, and vendor oversight
Collaborate with Marketing to define speaking roles or presentation components as part of the event program
Develop the event run of show and manage guest registration and experience on site
Post-event Analysis
Partner with stakeholders to evaluate event performance and recommend strategic improvements for future participation
Negotiate contracts and secure preference for future events as needed
Lead final budget reconciliation and ensure all documentation captured
Leadership & Influence
Model and promote Equinix culture and values
Build trust with stakeholders through proactive communication and accountability
Adapt plans to navigate changing priorities or challenges
Qualifications
Bachelor’s degree with 5+ years of experience in corporate event management, including significant focus on trade show management (or equivalent experience)
Proven success in managing industry trade shows and events
Strong financial and project management skills
Excellent interpersonal and communication abilities
Ability to manage competing priorities with poise and professionalism
