Job Summary
We are looking for HR Procurement & Vendor Management Associate (Benefits) for the operational governance and coordination of HR and benefits suppliers. This role supports the People Operations function by managing vendor onboarding, purchase order processing, invoice coordination, and supplier governance for benefits vendors, including insurers, pension providers, and meal voucher suppliers.
The role focuses on ensuring suppliers operate within agreed commercial, financial, and compliance frameworks. The new hire will work within established procurement policies and processes and applies judgement to resolve non‑standard operational issues, escalating when appropriate.
Responsibilities
Benefits Vendor Management & Governance
- Supports day‑to‑day governance of HR and benefits suppliers, primarily insurers, pension providers, and meal voucher vendors
- Maintains accurate supplier records, contracts, and governance documentation
- Monitors supplier compliance with agreed terms, documentation requirements, and onboarding standards
- Acts as an internal point of contact for benefits‑related vendor queries and operational coordination
Supplier Onboarding & Procurement Coordination
- Coordinates supplier onboarding activities in line with Global Procurement and internal People policies
- Ensures required vendor documentation is complete, accurate, and approved prior to engagement
- Supports HR procurement activities related to benefits vendors, within defined thresholds and processes
- Applies judgement to identify onboarding or procurement issues and escalates where appropriate
Purchase Order & Invoice Monitoring
- Creates and manages purchase orders (POs) for benefits‑related vendors in accordance with procurement and finance policies
- Performs PO receiving and tracking to ensure alignment with vendor invoices
- Coordinates with Accounts Payable and vendors to support timely and accurate invoice payment
- Monitors PO and invoice discrepancies and supports resolution within established processes
Operational Compliance & Data Integrity
- Ensures adherence to procurement policies, SOX requirements, data governance standards, and internal controls
- Maintains accurate and auditable vendor, PO, and contract data across systems
- Supports audit requests and compliance checks related to vendor management and procurement activities
Operational Excellence & Continuous Improvement
- Executes work in accordance with documented ways of working, SLAs, and KPIs
- Identifies opportunities to improve efficiency, reduce manual effort, and improve vendor governance processes
- Supports updates to knowledge materials, templates, and standard operating procedures
Project Support
- Participates in benefits‑related vendor management or procurement projects of varying size
- Supports data gathering, reporting, and documentation for initiatives and reviews
Role Requirements
- HR or People Operations background with experience supporting vendor management and procurement activities
- Experience working with HR Services (HRS) and benefits vendors, including insurers or retirement providers
- Understanding of purchase order processes, invoice workflows, and vendor onboarding
- Comfortable working in policy‑driven, compliance‑oriented environments
Qualifications
- 4+ years of related experience
- Prior experience in HR operations, vendor management, procurement support, or HR shared services strongly preferred
