Job Summary
Supports customers by following up on inquiries and issues to ensure timely tracking and resolution. Performs a variety of administrative and operational tasks, including maintaining accurate records and coordinating activities with cross‑functional teams to support smooth facility operations. Demonstrates strong technical aptitude, analytical thinking, and the ability to leverage tools such as Excel and AI applications to enhance productivity and reporting accuracy.
Responsibilities
Supervision
Supervise and coordinate a team of Receptionist staff remotely, ensuring consistent delivery of cross‑site support services for internal teams and customers.
Orders Support
Perform invoice verification and support basic order‑related administrative tasks.
Internal / External Contact
Direct and/or route inquiries to appropriate cross‑functional teams to ensure timely follow‑up and resolution.
Maintain positive working relationships with local vendors (e.g., hotel, restaurant, taxi, catering) to support company needs.
Problem Solving
Engage field teams and other personnel as necessary to drive issue resolution.
Identify customer satisfaction–related issues and escalate to management when appropriate.
Stock Maintenance
Ensure Customer Care Areas and conference rooms are clean, well‑stocked, and fully functional, including all amenities.
Administer vendors providing standard office services (e.g., copier, coffee machines) and manage office supply ordering.
Reporting
Support accurate and timely creation and closure of Condition Reports.
Review routine IBX Operations Weekly Status reports and provide analysis when needed.
Process Optimization
Identify trends in operations or customer inquiries and partner with leadership to implement tools or enhancements that streamline processes and improve efficiency.
Administration
Coordinate activities directly with the Equinix Response Center (ERC) as needed.
Generate purchase requisitions and coordinate with vendors for delivery and invoicing.
Assist with special projects as assigned.
Technical & Analytical Competencies
Strong analytical mindset with the ability to interpret operational data and identify trends.
Proficient in Microsoft Excel (pivot tables, lookups, basic data analysis).
Familiarity with AI‑assisted productivity tools (e.g., Copilot, AI‑enabled reporting, automated workflows) to improve efficiency and accuracy.
Fast learner with the ability to quickly adopt new tools, technologies, and processes.
Excellent active listening skills to understand customer needs and respond appropriately.
Qualifications
Typically requires a high school diploma and 2–3 years of equivalent work experience in customer service, administrative support, facilities operations, or related fields.
