Job Summary
The Program Associate will support the Equinix Foundation’s operations and philanthropic activities. Reporting into the Foundation Director, the Program Associate will be responsible for a combination of grants management as well as administrative, project, and program related duties, as listed below.
Responsibilities
The Program Associate’s duties will include, but not be limited to:
Grants Management
Oversees the life cycle of the grantmaking process by supporting the Foundation Director in proposal solicitation, application, and receipt; reviewing submitted documents and materials for adherence to foundation and program policies & procedures; organizing and responding to communications with grantees; and proactively working with internal and external partners to ensure timely grant submission, review, payment, response, and closure
Stays current on grants compliance issues and procedures; develops an understanding of legal and administrative issues; develops and maintains tools, systems, and files for managing recurring procedures and issues
Obtains and manages data in grant database, including grantee information, payment schedules, and more
Develops and prepares reports utilizing data
Reviews and analyzes documents submitted by grantees; shares timely updates and summaries regarding legal compliance or other issues that may arise during the development, review, and implementation of grants.
Organizes, composes, and manages program mailings and communications with current and potential grantees
Compiles and maintains relevant grantee information and tracks the status of grants through completion of payment process
Administrative Support
Provides calendaring, scheduling, and meeting support for the Foundation Director, and other Foundation-related stakeholders, as needed. Duties include preparation and review of agendas, presentations, documents, and materials; and arranging logistics and technology
Plans and executes meetings & events that take place on site, off site, and online
Collaborates with Foundation and Finance staff to develop, maintain, and monitor annual administrative & grants budgets and spending
Coordinates and contributes to the timely preparation and submission of board materials, including reviewing documents and formatting presentations
Stays up to date and serves as a department specialist and key resource for Foundation staff on administrative processes, requirements, and guidelines, including software systems, grant workflows, and board materials requirements
Works with internal and external partners to maintain administrative systems & files
Serves as point of contact for consultants, including processing of invoices and other foundation administrative processes, as needed
Drafts and develops business correspondence as directed. Responds to information requests. Assist with grant-related inquiries, coordinating responses, and maintain correspondence control records
Researches and prepares relevant background information for meetings and presentations
Programmatic Support
Regularly participates in meetings with Foundation Director to provide strategic support and thought partnership, including record keeping and follow-up with both internal and external participants
Researches and prepares background information for meetings and presentations, and compiles reference materials, as needed
Researches issues, programs, and organizations to assess their potential fit with Equinix Foundation funding strategies
Qualifications
Bachelor’s degree (or equivalent years of experience) desired
Excellent administrative & project management skills and experience, including the ability to plan and manage projects both independently and with colleagues
Ability to prioritize and complete multiple tasks independently; effectively manage and shift priorities and meet deadlines
Ability to accurately analyze information, proactively solve problems, and exercise appropriate judgement
Ability to constructively partner with others to meet common goals
Strong organizational skills, sharp attention to detail, and persistence and accuracy in seeing projects through to completion
Effective written and oral communication skills, including interpersonal skills and the ability to foster a team-oriented, inclusive work environment
Excellent computer skills and proficiency with the Microsoft Office suite, especially Excel and PowerPoint
Demonstrated ability to do online research and information gathering
Background in and expressed interest in the work of the Equinix Foundation a plus
Experience in web-based document management tools and practices. Willingness to learn new software tools and use them for program support
Experience with grants processing and grants database preferred, but not required
