Job Summary

Equinix’s Data Center Services (DCS) and Digital Services (DS) Teams builds next-generation software products and architecture for our Equinix software platform and services offerings. We are looking for a proactive and high-energy Executive Team Administrator who takes great accountability and pride to be an integral member of the DCS & DS Teams based at our Singapore office to lead essential site administration, facilitate office management responsibilities and provide support across all represented functions to ensure efficient functioning of all DCS & DS Teams. The Executive Team Administrator will also work in close partnership with the DCS & DS Teams to serve as an ambassador for the DCS & DS across functions in Singapore and beyond, built the identity of DCS & DS Singapore towards being the workplace of choice.

Responsibilities

  • Support DCS & DS Teams with employee onboarding, induction, and off-boarding to ensure the best onboarding experience for all employees

  • Enhance the welfare of DCS & DS Teams through virtual, in-office employee engagement, well-being activities, managing delivery of gifts for significant occasions and birthday greetings to support the identity of the DCS & DS Singapore towards being the workplace of choice

  • Coordinate and host meetings of multiple scales including but not limited to Global DCS & DS All Hands, and DCS & DS Singapore All Hands Includes collating the agenda, minute-taking, creating surveys for meetings and following up on action items

  • Maintain the activities and planning calendar for the DCS & DS Singapore, including the preparation and circulation of newsletters

  • Assisting the DCS & DS Site Lead and Leadership Team with support across all represented functions including budget and vendor management, inventory management, employee well-being, team building activities, arrangements for catering, and booking of venues

  • Support the various DCS & DS pillars including but not limited to Communication, Engagement, Diversity

  • Managing communication with other cross functional Administrators as a DCS & DS Singapore representative, and APAC cross functional engagements such as WeAreEquinixSingapore in a manner consistent with The Magic of Equinix

Qualifications

  • A go-getter who can multi-task, is out-going, detail-oriented, meticulous and takes great pride with delivering high standards

  • Possesses a positive and upbeat personality, and excellent inter-personal communication skills to communicate effectively with all levels

  • Possess an effective presence in-person, over the phone and email

  • Strong ability to organize and work well with deadlines in a dynamic environment

  • Ability to work with multi-cultural teams distributed geographically and think out of the box to “get things done” in a highly-matrixed organization

  • Possesses creativity with organizing employee well-being and team building activities that are fresh and engaging, and manages participation

  • Create a branding strategy to promote The Magic of Equinix and an unique identity for SDC as the workplace of choice

  • Proficiency with Microsoft Office 365 tools including Word, Excel and PowerPoint

  • Prior experience in an Administrative or Executive Assistant role is advantageous

  • Prior experience in budget and vendor management, and/or project management will be highly advantageous
