Job Summary 

Equinix is looking for an exceptional Administrative Assistant to support 2 leaders within the Transformation Office. The Administrative Assistant will assist by prioritizing and completing multiple tasks and following through with team members to achieve group and individual goals. 

 

The preferred candidate will be proactive, detail oriented, and demonstrates a "get the job done" attitude. The Administrative Assistant must be flexible and possess outstanding decision-making skills. The ideal candidate will be a highly motivated professional with solid project management, organizational and communication skills. Strong candidates are enthusiastic, dedicated and focused on providing quality support. Additionally, the candidate must be able to develop and maintain positive working relationships at all organizational levels.   

 

Responsibilities 

  • Provide administrative assistance to the team and its programs/ projects 

  • Maintain confidentiality and deal with information that is highly sensitive 

  • Exercise judgment within generally defined practices and policies in selecting methods and techniques for obtaining solutions 

  • Organize meetings and develop agendas 

  • Coordinate complex calendars, travel and special event arrangements 

  • Process expense reports & POs and proactively manage to completion 

  • Partner with internal support organization and develop positive and productive partnership in support of the business 

  • Coordinate special projects as needed 

  • Manage departmental budgets 

  • Provide detailed reporting as needed utilizing Workday (HRIS) systems 

  • Complete expense reports with attention to detail and accuracy 

  • Manage multiple assignments with competing priorities 

  • Prepare PowerPoint presentations & Excel reporting in support of TrO projects 

  • Develop processes and documents to aid in the management of HR Business Partner training/ facilitation sessions 

  • Respond to correspondence and/or create draft response for approval 

  • Support business facilitation (logistics, vendor management, material prep and/ or follow-up and organization, survey prep & analysis, communication, etc.) 

  • Other duties as assigned 

 

Qualifications 

  • Previous administrative experience is required - whether you managed dependents' schedules, held volunteer administrative roles or anything in between, we value your dedicated organization, calendaring and synthesizing skills, not necessarily how you got them 

  • Excellent written and verbal communication skills 

  • Highly organized and detail oriented 

  • Ability to build and maintain positive and productive inter-departmental working relationships 

  • Expert proficiency in MS Office – Teams, PowerPoint, Excel & Word is required
