Senior Benefits Specialist, EMEA

Responsible for building and delivering both EMEA and local benefit programs that enhance the employee experience, through support and management of both EMEA and country programs in line with the global total rewards philosophy.

  • Manage benefit plan renewals, identify opportunities on enhancements to plan design, integration, implementation, and opportunities to reduce program and/or vendor expenses.
  • Lead new benefit initiatives and manage the implementation processes in partnership with our global broker, HR and the business.
  • Assist other HR teams, employees and managers with all benefits inquiries, as well as coordinate benefits training and onsite benefits and wellness events
  • Manage benefits billing for all plans regionally. This includes obtaining and reconciling invoices, creating purchase requests, supporting the global budgeting process and submitting and tracking payments and costs.
  • Responsible for EMEA benefits communications, including content on intranet pages, updating and maintaining all Benefits documents and creating engaging and value add content
  • Develop program communications and resource materials to increase employee understanding and engagement of country benefit programs with a key focus on continued process improvement and employee experience.
  • Manage and improve benefits delivery operations processes by partnering with local HR teams, HRS and Payroll team to upgrade operational efficiency and improve employee experience.
  • Ensure country benefit compliance with all applicable laws and regulations; providing expertise related to the regulatory and legal requirements for employee benefit and retirement plans.
  • Partner closely with local payroll to ensure efficient and accurate processing of benefit deductions.
  • Contribute to the research, analysis, design and development of Equinix’s global benefit programs consistent with business priorities and total rewards philosophy.
  • Research and recommend benefits for new EMEA markets as well partner with global coordination liaison to evaluate opportunities.
  • Ensure EMEA benefits programs maximise Diversity, Inclusion and Belonging
  • Partner with Procurement and Legal to oversee management of benefits contracts.
  • Responsible for thoroughly understanding statutory and voluntary benefits programs and leave of absence/time off requirements for EMEA.
  • Manages compliance and governance via our global international benefits inventory database (Mercer Gold).
  • Create, maintain & update benefits operating procedures to ensure processes are adhered to consistently.
  • Participate in benefits related projects or broader HR projects as a stakeholder
  • Keep informed of changes in benefits market, legislation and compliance and propose changes to Equinix plans as required.
  • Lead all benefits related work in partnership with global or local brokers required for new country set up’s, mergers, acquisitions, and partnerships.
  • Lead new benefit initiatives and manage the implementation processes in partnership with TR team, HR, HRIS and Payroll colleagues and the business.
  • Partner with the benefits team on global benefit projects, such as launching wellness programs and country expansion.
  • Analysing current process and ways to automate with our rapidly growing headcount.

Requirements

  • Has experience as an international benefits specialist, working for a globally matrixed organisation with an expansive global footprint.
  • Extensive knowledge of EMEA compliance requirements regarding employer benefit plans
  • Experience with a full array of benefits programs including DC and DB plans, medical plans, life, AD&D, disability plans, health and wellbeing.
  • Able to build strong working relationships with teams and key stakeholders on an international basis.
  • Strong vendor management skills with the ability to understand contracts, setting of service level agreements and challenging non-compliance.
  • Experience of managing projects including preparing project plans, timelines and building business cases.
  • Highly proficient in Microsoft Office, particularly Excel to run benefit analytics.
  • Previous experience of M&A activity / benefits harmonisation.
  • Strong communication and presentation skills.
  • Workday (or comparable HR System) experience.
