Job Level Summary:
The Lease Administration Senior Analyst is responsible for rent payment processes and systems support. They act as a SME on Equinix's real estate portfolios and maintains communication with landlords.
Supervises and manages the Warsaw-based lease administration operations team to ensure that monthly rents obligations are paid on time and that all leasing activities are in accordance with internal policies and guidelines.
Key responsibilities:
Data Management
- Manages and coordinates the accuracy of lease abstractions to ensure that all lease fields are filled out correctly (financial, lease terms and critical dates), and abstraction occurs on time, within the company’s internal SLA’s.
- Coordinates maintaining data integrity to ensure consistency and accuracy within existing portfolios.
- Manages the internal annual auditing process on data management accuracy
Financial Management
- Manages the monthly rent payment processing for the EMEA portfolio (+€100m per annum).
- Manages the timeliness and accuracy of rent payments.
- Responsible for rent variance analysis
- Manages and coordinates tenant billing for xScale division and external tenants.
- Manages and ensures that all tenant invoices are received by the Billing team on time so that payments can be processed.
- Coordinates the tracking of tenant allowances and security deposit balances.
- Assists with the annual budget and forecast preparation
- Examines and approves CAM and other escalations, as well as real estate tax invoices.
- Prepares the monthly invoice accruals
- Manages the recurring rent obligations and invoices review
- Reviews annual landlord reconciliations statements and calculations to ensure accuracy and lease compliance
- Conducts landlord audits
Payment of Rent / CAM
- Responsible for the completion of the monthly rent payment process
- Identifies need for lease and rent related reports, as well as other real estate related inquiries
- Responsible for CAM reconciliation
- Works with the Accounting team to hone processes to avoid payment errors
- Proactively identifies cost savings opportunities based on lease terms
Lease Management
- Acts as final escalation point for the lease management system
- Responsible for lease abstraction
- Manages landlord correspondence and drafts leases
Data Integrity
- Maintains data integrity to ensure consistency with the portfolio
Cross-Functional Coordination
- Is a SME on Equinix real estate portfolios and acts as a point of contact for various departments (e.g. Finance, Sales, etc.)
- Manages engagement with the Legal team on various documents such as SNDAs and other similar transactions
- Handles landlord conflict resolution on major issues, while coordinating with other departments as appropriate
Landlord Audits
- Manages reporting and communication to management and Accounting on results of audits
Skills, Experience & Qualifications
- Bachelor’s Degree
- At least 5 years of experience in lease administration. Finance / Accounting experience is a plus
- Previous experience within an international business environment
- A team-work oriented person able to work independently, with good interpersonal skills
- Proactively assumes ownership and accountability
- Creative problem solver with analytical understanding
- Strong Knowledge of Microsoft Excel and macros (VBA)
- Analytically driven and detail-oriented
- Enthusiastic, pro-active & eager to learn
- Knowledge of financial & procurement systems such as Oracle & Coupa
- Knowledge of Real Estate IT platforms, preferred Lucernex
- Proficient in 2 to 3 European languages (English is a must)
- Passionate about Real Estate!
- Ability to travel (mostly Amsterdam)
