Job Summary
The Corporate Real Estate (CRE) Associate is a vital member of the CRE organization, responsible for leading the delivery of daily operations of Equinix offices in line with CRE standards of safety, courtesy, efficiency, and community, and in line with the Operational Excellence (OE) Playbook. The CRE Associate will deliver an exceptional customer experience and create a vibrant workplace community in the offices managed. As a representative of Equinix and the CRE org, the Associate will play a crucial role in creating a welcoming, professional environment that reflects our company values.
What you’ll be doing
Welcome Desk:
- Act as the primary point of contact, providing support, knowledge, care and fun
- Greet visitors and employees, CRE’s customers, engaging in conversation upon arrival and departure
- Anticipate and fulfill guests' needs; striving to exceed their expectations
- Answer questions from customers related to the building, including wayfinding, policies and procedures, and etiquette
- Coordinate visitor check-ins and security procedures using the Envoy visitor management system
- Manage the distribution of security badges, and reconcile visitor logs and the EV charging station program (if applicable)
- Maintain awareness of potential office security issues and communicate concerning issues to the local CRE metro lead, building security when appropriate, and the risk management team management tool, ensuring compliance with company policies
- Maintain an orderly and presentable lobby, moving deliveries or broken items out of site immediately
- Assist with onboarding new employees by providing essential information and resources, supporting no dead ends
Events and Employee Engagement:
- Build a welcoming and collaborative community environment amongst our customers through events
- Cultivate a positive vibe through fun and engaging activities at the front desk
- Plan and support coordination, promotion, set-up, and clearing of on-site CRE-led or supported events
- Assist with scheduling and managing meeting rooms, including arranging necessary equipment, supplies, and catering for All Hands events
- Partner with We Are Equinix and Equinix Employee Connection Network teams to create inclusive events
- Provide surprise and delight customer opportunities
Office Communications:
- Create fun and informative communications for office events and information using Outlook, Viva Engage, and Office Raven tools
- Ensure timely and professional communications to internal and external stakeholders
- Serve as liaison between employees and various departments, addressing any workplace-related concerns or inquiries
Building Operations:
- Own smooth running of the site and parking areas (where applicable), including daily floor walkthroughs to ensure the office meets Operational Excellence standards and the needs of customers and visitors
- Continually monitor the site's security and safety and take immediate action when risks are identified to the site or to employees.
- Action customer tickets in good time, ensuring there are no dead ends, and that the customer is communicated with immediately in the case of a delay
- Support office moves, openings, closures, and change projects ensuring they are executed smoothly and with minimal impact on customers
- Check and ensure that the office is well-equipped with stationery, printer supplies, first aid, pantry, food and beverage, and other essential supplies
- Partner with and maintain relationships with vendors and contractors to ensure they are delivering the right level of service e.g. overseeing cleaners performing contracted scope
- Assist with receiving deliveries of all external and inter-office mail and support employees on all mail and shipping requirements as needed
- Provide direction, and information to vendors, service providers, and Corporate Real Estate staff as required to ensure excellent coordination
- Oversee the Purchase Order process in line with CRE policy
- All of this while illustrating Equinix’s core values and working towards achieving our mission of delighting our customers
Business Continuity & Compliance:
- Act as a representative of the safety committee team
- Know and be able to implement emergency response plans by maintaining proficiency in fire, safety, security, and emergency procedures as per the Playbook
- Be an emergency point of contact out of hours and respond to emergencies as part of the call tree
What we’ll expect from you
- Proven experience in project management and business operations
- Customer Service or hospitality experience
- Strong interpersonal skills
- Presentable and professional demeanor
- Fluency in written and verbal Portuguese, advanced in written and verbal English, Spanish is a plus
- Strong written communication skills – clarity and grammar – for employee-facing materials
- Confidence and experience interacting with individuals at all levels
- MS Office skills, particularly Outlook, Excel, and Word
- Bachelor's degree
- Demonstrate integrity, dependability, responsibility, accountability, self-awareness, work ethic, and compassion
- Have a self-starting, proactive, and can-do attitude
- Project a welcoming attitude by offering a warm and friendly smile, and open body language
